This Privacy Policy describes how Sypram Software LLC ("Sypram," the "Company," "we," "us," or "our") collects, uses, and discloses information in connection with the AdvEntERP software-as-a-service platform and the website at AdvEntERP.com (together, the "Service"). It is incorporated into our Terms and Conditions by reference. Capitalised terms not defined here have the meanings given in the Terms.
1. Information We Process
Account information. When you create an account we collect your name, work email address, organization name, and a hashed form of your password. We also record your acceptance of these Terms, including the date, time, the version accepted, and the network address the acceptance came from.
Company and User Data. The Service stores the accounting records you and your Authorized Users enter — transactions, ledger entries, invoices, bills, reconciliations, attached documents, and related financial content. As stated in Section 8.1 of the Terms, you retain all right, title, and interest in your User Data.
Usage and audit records. The Service maintains an audit log of significant actions, which may include the acting user, the affected record, the time, the network address, and the browser user-agent.

2. Data You Must Not Submit
The Service is not designed, intended, or certified for the storage of sensitive financial or personal identifiers. Section 8.3 of the Terms prohibits submitting full bank account numbers, card numbers, CVV/CVC codes, card PINs, online banking credentials, Social Security numbers, or other government-issued identification numbers. Where the Service needs to reference a bank or card account, use masked or truncated identifiers (such as the last four digits) or an account nickname. If you submit such data anyway, Section 8.4 of the Terms governs, and we may delete, redact, or mask it upon discovery.
3. How We Use Information
Under the licence you grant in Section 8.1 of the Terms, we host, store, process, transmit, display, and reproduce User Data solely as necessary to provide, maintain, secure, and improve the Service and to comply with applicable law. We use account information to authenticate you, administer your Subscription, provide support, and send service-related notices.
4. Disclosure
Third-Party Services. The Service may interoperate with third-party services such as banking institutions, payment processors, and data feeds. As stated in Section 10 of the Terms, those services are governed by their own terms and privacy policies, and we do not control them.
Legal and safety. We may disclose information where required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Sypram, our users, or the public.
Business transfers. As permitted by the Assignment clause in Section 20 of the Terms, information may transfer in connection with a merger, acquisition, or sale of assets.

5. Security
We employ commercially reasonable measures to protect and back up data. As stated in Section 8.5 of the Terms, we do not guarantee that User Data will never be lost, corrupted, or unavailable, and you remain solely responsible for maintaining independent backup copies of your records outside the Service. You are responsible for safeguarding your credentials and must notify us immediately at office@SypramSoftware.com of any unauthorized access.

6. Retention, Export, and Deletion
We retain User Data for as long as your account is active. Following termination, Section 16 of the Terms provides that we may make User Data available for export for thirty (30) days (except where termination is for serious breach or unlawful use), after which we may delete it. You are encouraged to export and retain copies of your records regularly.

7. Your Choices and Rights

8. Children
The Service is intended for businesses and business users, and Section 2 of the Terms requires account holders to be at least eighteen (18) years of age. The Service is not directed to children, and we do not knowingly collect personal information from them.
9. Changes to This Policy
We may revise this Privacy Policy from time to time. If we make material changes we will post the updated policy here, update the "Last Updated" date, and, where appropriate, notify you by email or through the Service.
